Description and Utility
Several items within myFolio are dependent on the school year, or, as it is referred to in myFolio, the Cycle.
To see your school’s Cycle dates, click “Manage”, then select “Cycles” from the drop-down.
Cycle-dependent Items
Cycle-dependent items include:
- Goals
- All Notes (Conversation, Classroom Observation, Goal Meeting, Mid-Cycle Conversation,
and Year-end Summary), including drafts - Milestones
- Projects
- Peer/Supervisor Survey Requests
Once the Cycle has rolled over, Cycle-dependent items become read-only. Importantly, draft notes are deleted.
Before Cycle Rollover
The myFolio School Admin will receive emails 30 days and 7 days prior to the Roll-Over to let them know it is going to happen. The email instructs the myFolio Admin to let their myFolio users know that Notes and Goals for the current Cycle will become read-only after the rollover.
After Cycle Rollover
When the myFolio Cycle rolls over, myFolio automatically creates a new Cycle after 12:00 AM on the Cycle Beginning Date. As a myFolio Admin, you do not need to take any action for this to occur.
As a myFolio Admin, you will need to set new Milestone dates for the new Cycle on the Milestone Timeline page. This would also be a good time to review the Milestones being used at your school.
Changing the Current Cycle's End Date
The end date of the current Cycle can be changed at any time prior to the end date. Let's say it's June 29th, your school's Cycle end date is June 30th and your Head of School (for example, it could be anyone) needs more time to write and publish their Year-End Summary Notes. You decide to extend the Cycle for a week until July 7th to give the Head (and others) some extra time to publish notes before the Cycle ends.
To do this follow these steps:
1. Click "Manage" then "Cycles."
2. On the Cycle Manager page, click the Pencil icon.
3. Use the calendar pop-up to choose a new Cycle end date.
4. Click the "Update Cycle" button to save your changes.
After the Cycle rolls-over, you might want to move the new Cycle's end date back to the original end-date (for example, June 30th) to give your school's Cycles a consistent end date.
