Workspaces

Workspaces is a feature in myFolio that provides flexibility around assigning Folio professional growth items, called Waypoints. A myFolio Workspace can also facilitate team and collaborative work. 

Waypoints are similar to Folio Milestones (Goals Meeting, Observation, Year-end Summary, etc.) in that they have due dates, are tracked by Folio, and are associated with a Note Type.

Waypoint timelines are entirely customizable and apply only to the members of a specific Workspace.

 

Creating a Workspace

To create a Workspace, click Manage-->Workspaces, then click the Add Workspace button.

On the new Workspace page, give it an appropriate name and a description (optional.) Add one or more Workspace Leaders, Workspace Collaborators and Members by typing the employee’s name and then clicking to add them. See the table below to see the visibility and permissions of Leaders, Collaborators and Members. Click “Create Workspace” to create the Workspace (you and any Workspace Leader can edit it later.)

NOTE:  Collaborators and Members of a Workspace can be made exempt from the Organizational Milestones (Goals Meeting, Year-end Summary, etc.) by checking the “Milestone exempt” box.

Creating a Timeline

A Workspace really comes alive once a Timeline with Waypoints is set up.  To do this, on the particular Workspace’s page, click the “Add Timeline” button.

On the Timeline page, enter a start date, and an end date. You can then add Waypoints which have a Name, Description, a due date and a Note type that completes them.  For example, if the Waypoint relates to an employee’s Goals, you could select the Goals Meeting Note.  If it is just a mid-semester check-in, it could just be a Conversation Note.

Like all Workspace settings (except for Members) the Workspace Leader can create the Workspace’s timeline.

Completing Waypoints

To complete a Waypoint, navigate to the Workspace’s page.  Then, find the Workspace member whose Waypoint you want to complete.  Click the date of the Waypoint and you will be taken to the associated Note type for that Waypoint.  Write the Note and publish it to complete the Waypoint.

 

Users can also create a Waypoint-associated Note from the “My Timeline” section of their Dashboard. Again, they can click the due date of the Waypoint to be taken to the associated Note type. They can then write the note and publish it.  

NOTE:  All Waypoint-related Notes that are published can be found on the employee’s Notes page, along with their other Notes.

Posts

There is an area of the Workspace page where Workspace Leaders or Workspace Collaborators can post information for the Workspace with an optional email notification to the Workspace.

  • The post has a Title (required) and a Body.  
  • Optionally, when you create or edit the post, you can send the notice as an email to all Workspace Leaders, Collaborators, or Members in the Workspace.
  • Click the “New Post” button to create a new post.

 

  • To send the post as an email, click the “Send an email notice?” button to “ON.”
  • Again, these emails are only sent to the Workspace Leaders, Collaborators, or Members of that particular Workspace.

Managing Workspaces

Folio School Admins can Archive or Delete Workspaces.  Archived Workspaces can be restored, while deleted Workspaces are permanently deleted.  

  • The Waypoints associated with an archived Workspace or a deleted are removed from the Members’ or Collaborators’ timeline.  

To archive or delete a Workspace, click the Archive or Delete link associated with the Workspace.  You will receive a confirmation pop-up before the action is completed.

  • Archived Workspaces can be restored from the Archived Workspaces page.  To reach this page, click the “View Archived Workspaces” button on the Workspaces page.
